When you submit the pilot enquiry or contact form, we may collect:

  • Your company name
  • Your job title
  • Your business email address
  • Your portfolio or asset type
  • The information you include in your message
  • Technical information necessary to transmit and protect the form, such as an IP address or submission timestamp

Please do not include sensitive personal information in the message field. For example, do not submit medical information, identification documents, financial account details or special categories of personal data.

We use the information submitted through the website to:

  • Respond to your enquiry
  • Understand your organisation, portfolio, asset or investment question
  • Assess whether a FutureAsset pilot or service may be relevant
  • Arrange and prepare for introductory conversations

We will not automatically add you to a marketing newsletter merely because you submit a pilot enquiry.

We process contact-form information because it is necessary to respond to your request and, where applicable, to take steps at your request before entering into a business relationship.

We may also process limited information based on our legitimate interest in managing business enquiries, maintaining appropriate records and protecting our website from misuse.

Where we specifically ask for consent, you may withdraw that consent at any time. Withdrawal does not affect processing that took place before consent was withdrawn.

5. Contact-form provider

FutureAsset currently uses FormSubmit to receive website form submissions. When you submit the form, the information entered in the form is transmitted to FormSubmit and forwarded to the FutureAsset email inbox.

FormSubmit operates as an external service provider for the technical delivery of form submissions. Its own privacy terms describe how it processes data submitted through its service.

6. How long do we keep your information?

We retain contact enquiries only for as long as reasonably necessary to respond, manage the potential business relationship and maintain appropriate business records.

As a general rule:

  • Enquiries that do not lead to a business relationship are deleted within 12 months after the last meaningful contact.
  • Information relating to an active prospect, pilot, proposal, contract or client relationship may be retained for the duration of that relationship and for any additional period required by applicable legal, tax or administrative obligations.

Information may be deleted earlier where it is no longer needed or where a valid deletion request applies.

7. Who may receive your information?

Your information may be processed by service providers that help FutureAsset operate the website, receive email or manage business enquiries.

These may include:

  • FormSubmit, for transmitting contact-form submissions
  • The provider used for FutureAsset’s business email and email storage
  • Website-hosting and infrastructure providers, where technically necessary
  • Professional advisers where necessary for legal, accounting or regulatory purposes

We do not sell personal data submitted through the contact form.

8. International data transfers

Some service providers may process or transmit information outside the Netherlands or outside the European Economic Area.

Where such transfers occur, FutureAsset will take reasonable steps to use providers and safeguards intended to protect personal data in accordance with applicable data-protection requirements.

9. How do we protect your information?

FutureAsset uses reasonable organisational and technical measures to protect personal data against unauthorised access, accidental loss, misuse, alteration or disclosure.

However, no website, form transmission or email system can be guaranteed to be completely secure. You should therefore avoid including confidential or highly sensitive information in the contact form.
